By focusing on the right things.
There are two types of tasks: those that move you closer to your goal and those that don't. It's easy to get caught up in the latter; these are the tasks that are urgent but not important. Answering emails, attending meetings, and putting out fires are all examples of tasks that fall into this category. They're urgent because they need to be done now, but they're not important because they don't move you closer to your goal. On the other hand, tasks that are important but not urgent are those that move you closer to your goal but can be scheduled for later. Examples include planning, brainstorming, and research.
The next time you find yourself feeling overwhelmed by your workload, take a step back and ask yourself which of these tasks are really going to move you closer to your goal. Chances are, most of them aren't as important as you think they are. Focus on the tasks that matter, and you'll find yourself getting more done in less time.
